Tree & Bronze Plaque Memorials to be Placed on Town Property
MEMORIAL APPLICATION PROCESS CRITERIA
It is the intent of the Huntington Town Board to allow the placement of privately-donated memorials in town parks, beaches and other town-owned public places to honor the memory of a deceased resident of the Town. This policy does not apply to the placement of memorials by the Huntington Town Board, the Town of Huntington, or any department of the Town of Huntington. The following policies, procedures and criteria are intended to respectfully regulate the types of memorials and proper locations through a coordinated process involving various town departments, as well as the applicable fees for the memorial. The Director of Parks and Recreation may establish such further rules and regulations as he or she deems necessary. All requests submitted for consideration must adhere to the following policies, procedures and criteria.
Application Process:
Those seeking permission to place a memorial in a town park, beach or other public place must file an application with the Department of Parks & Recreation. Memorials shall be considered for only those decedents who have resided in the Town of Huntington for a portion of their lives. Once submitted, the application will be reviewed by the Town of Huntington Memorial Review Committee.

Review Committee:
The Town of Huntington Memorial Review Committee (hereinafter referred to as the “Committee”) shall be charged with reviewing all requests for the proposed placement, siting and installation of memorials in parks, beaches and other town-owned public places. The following four Memorial Placement Committee individuals are:
• Director of Parks & Recreation, or his or her designee
• Director of Planning & the Environment, or his or her designee
• Town Attorney or his or her designee
• Director of General Services, or his or her designee
Memorial Placement Criteria:
The Committee shall make every effort to accommodate submitted requests but cannot guarantee that proposed memorial locations will be approved. If it is determined that any one of the following factors is applicable, another location will be proposed:
a) A certain location has met a saturation point; or
b) The proposed memorial would create a hazard or nuisance at the requested location; or
c) The proposed memorial would interfere with or impede pedestrian or vehicular travel; or
d) Any other basis deemed proper and necessary by the Committee.
Types of Memorials:
The application contains detailed information on what types of memorials are available. The Committee only has authority to approve tree memorials. Trees shall be selected based on environmental factors such as park habitat. The selection of trees, along with desired location, shall be decided by the Committee after consulting with environmental planners in the Department of Planning and the Environment. Working in conjunction with the Department of General Services, the Parks Department shall develop standards on the type and placement of a tree. Applications for memorials other than trees shall only be approved by the Huntington Town Board through a resolution approved by a majority of the Board. It shall be the Committee’s decision, however, whether to refer an application to the Huntington Town Board for approval.
All bronze plaques shall contain standard wording limited to one of the following list of 12 choices:
• “Dedicated to (Names)”;
• “Donated by (Name)”;
• “In Memory of (Name)”;
• “In Loving Memory of (Name)”;
• “Dedicated to the Memory of (Name)”;
• “Given in Loving Memory of (Name)”;
• “In Honor of (Name)”;
• “In Honor and Memory of (Name)”;
• “In Tribute to (Name)”;
• “In Appreciation of (Name)”; or “In Grateful Appreciation to/of (Name)”.
Additional Plaque Options that can be added:
• Birth & Death Dates (full dates or just years)
• Title and/or Rank and/or United States Military Service/ Police/Fire Department Organization affiliation
The Memorial Review Committee Application Process:
The Memorial Review Committee reviews and decides upon submitted applications for a memorial tree & plaque including the wording, requested location and or Committee’s recommendation of an alternate park/beach location due to lack of space or too many trees located within the desired Park or Beach. The Town will order the selected tree from one of the following: Town Bid, New York State Bid or County Bid. As stated above, the Committee, and not the applicant, is responsible for selecting the specie of tree.
After approving the Application/Location, the Town will handle the ordering and shipping for the Tree/Plaque and it will be delivered to the Parks Maintenance facility located at 182 East Pulaski Road, Huntington Station, NY 11746. The fees include installation & maintenance. The balance of the memorial fee will be placed in the Town’s Trust and Agency Account, used for purchase, installation, and maintenance.
Memorial Costs:
• Application Fee: $50.00 (no refunds) to be paid at the time of the application. This fee is subject to adjustment when determined necessary by the Huntington Town Board.
• Memorial Fee: Tree/Bronze Plaque: $850.00 – pays using either Credit/Debit Card; Certified Bank Check; Money Order (We no longer accept Personal Checks). This fee is subject to adjustment when determined necessary by the Huntington Town Board.
Memorial Tree & Bronze Plaque:
• Full payment of $850.00 is due upon approval of the final application process.
• Agency Account which covers the following:
o A choice of one tree to be selected from the Town’s current tree bid;
o A bronze plaque engraved with one of the twelve choices outlined above;
o All shipping and handling costs; and
o Professional planting of the tree.
Memorials Maintenance:
During the first five years after the planting of the tree, the Town will replace a tree that is diseased or irreparably damaged by a storm at no cost to the applicant. The determination as to whether or not a tree needs replacement within the first five years after planting shall be made by the Committee and the applicant shall have no right to dispute that determination. After five years, the Town will replace a tree that is diseased or irreparably damaged by a storm at its discretion.
The Town reserves the right to remove and relocate any memorial that conflicts with any future park or beach improvement project(s) taking place in said location, or for any other reason deemed necessary by the Town. The Town will make every effort to contact the original donor or their family members to coordinate the relocation of the memorial to a suitable location.
Memorial Tree & Bronze Plaque Fees & Ordering Process:
Application Fee (no refund): $50.00 + Memorial Tree/Plaque Fees: $850.00 = $900.00 total
1. Full payment of $850.00 is due upon approval of the final application process.
The Flat Fee of $850.00 shall be deposited into the Town’s Trust and Agency Account which covers the following:
a) The Town shall furnish plant and maintain tree, approved from the latest Town/NYS/County Bid and Tree Listing. The Memorial Tree Review Committee shall approve and or recommend another park/beach location, shall furnish, plant and maintain tree for the following specification:
b) One Park Tree as per Town Bid includes installation costs for one
i. (1) 2-1/2” to 3” Cal.,
ii. 3ft to 4ft Spread of Top,
iii. 12ft to 14ft. height
c) The Town shall furnish, plant tree for the following specification
Memorial Bronze Plaques:
1. Bronze Cast Plaque 9” x 6” has up to 6 lines of text & 20 characters/spaces maximum per line with 24” black post in concrete/ includes shipping and installation.
2. Aluminum Cast Plaque 9” x 6” has up to 6 lines of text & 20 characters/spaces maximum per line with 24” black post in concrete/ includes shipping and installation.
Memorial Plaques Ordering Process:
1. Once the Memorial Committee has received the Fees they will start the ordering process by purchase order to our local vendors.
2. Plaques wording submitted to vendor in about three to (3-5) five days we obtain a virtual proof from the foundry. We submit that to you by email or mail for your approval, content, spelling and layout and you must return to us in writing the virtual proof you approve. If we need to send a reproof we do so one additional time without charge. Any additional proofs after two (2) there will be additional $35.00 each for additional proofs which comes out of your Memorial Fund.
3. Once Virtual Proof is approved it may take eight (8) to ten (10) working days in production and four to seven (4-7) days in UPS ground delivery to Parks Maintenance Facility located at 182 East Pulaski Road, Huntington Station, NY 11746.
4. The Bronze Plaques Process is on a case by case basis total time from our order is about 15-20 Days.
5. Rush services are available with air shipping costs which will be estimated on a case by case basis at that time.
